Observe
Use a fixed inspection route, dated photos, account review and event-triggered checks.
A homeowner-first signal desk for anyone who owns a Bexar County property but does not live at it—rented, vacant, family-used, inherited, under repair or waiting on a decision.
Absentee is a location fact—not a motivation score. This desk is designed to find solvable operating gaps early, whether you plan to keep, rent, improve or sell.
Start with evidenceUse a fixed inspection route, dated photos, account review and event-triggered checks.
Send notices, repair requests, incidents and invoices to monitored channels.
Give one named person the scope, timing, access and backup for each response.
Require completion evidence: image, invoice, receipt, instrument, confirmation or retest.
Compare cost, condition, purpose and options on a defined horizon—not during a crisis.
Rate each signal from current evidence—not memory. “Clear” means recently verified; “watch” means deterioration or uncertainty; “urgent” means a condition or deadline that needs prompt attention.
Roofline, siding, paint, windows, doors, fence and visible storm damage
Grass, weeds, brush, trash, drainage, trees, alley and sidewalk
Locks, gates, lighting, mail, signs of entry, vehicles and changing occupants
Water, electric, gas, HVAC, freeze protection, leaks and unusual usage
Moisture, pests, odors, ceiling stains, appliances, smoke/CO alarms and trip hazards
Who is there, under what agreement, who may enter and who reports problems
Correct occupancy/use, premium, renewal, exclusions, inspections and open claims
Mortgage, tax, HOA, utility, vendor and repair accounts current and reconciled
BCAD, tax, lender, insurer, HOA, city, court and certified mail routed promptly
Deed/title, leases, keys, photos, permits, warranties, contacts and receipts retrievable
Confirm both the person and the response proof. A name without scope, access, backup, timing and documentation is still a gap.
One person accountable for escalation, access and proof
Exterior/photo visit on a written cadence
Able to attend quickly for water, fire, storm or entry
Plumbing, electrical, HVAC, roofing and structural contacts
Grounds, brush, trash, trees, fence and weather checks
Agent/carrier channel and policy/claim numbers
Same-day scan/forward protocol for official correspondence
Key inventory, codes, permissions and return/revocation log
Give each person only the access and authority actually needed. Keep a backup for critical roles.
Use statements and invoices. The result excludes appreciation, depreciation, income tax, capital gains, major unknown repairs, sale costs and the value of your time.
Route the source to a monitored address, then test the alert and archive path. Updating one office does not update every lender, insurer, tax office, HOA or city record.
BCAD ownership, mailing address, appraisal and exemption notices
Bexar County property-tax bills, statements and collection notices
Mortgage/servicer statements, escrow changes, default or foreclosure mail
Insurance renewals, inspection requests, nonrenewal, cancellation and claims
City/County code, vacant-property, permit, utility and certified notices
HOA/condo assessments, violations, meetings, liens and special assessments
Tenant/occupant rent, repair, safety, access and lease communications
Court, probate, attorney, title-company, judgment and lien correspondence
Vendor invoices, estimates, warranties, service reports and completion proof
Neighborhood/911/311 reports, storm alerts, trespass and incident records
Keep entries factual and dated. Use a consistent photo route, preserve originals and do not enter occupied property without lawful authority and notice.
Score 1 for weak/unclear and 5 for strong/verified. The result identifies the next analysis—not the “right” transaction.
Select every condition present. Call 911 for immediate danger and use verified local professionals, insurers, authorities and counsel for the situation.
Confirm possession, lease/permission, keys, deposits, utilities, insurance, mail and condition.
Check exterior, roof, trees, water, power, HVAC, pipes, alarms, photos and insurer deadlines.
Save the full notice/envelope, verify sender independently, calendar response and assign proof.
Triage safety, authorize access, define scope, preserve before/after proof and retest.
Reconcile the account, identify authority, preserve statements and verify the destination.
Refresh title, occupancy, condition, costs, permits, insurance and decision authority first.
Programs, forms, fees, definitions and procedures can change. Current official sources control.
Search the property record, review the owner/mailing address, exemptions and online services. BCAD handles value, taxable owner and mailing-address records—not tax payments.
Official explanation of which office controls appraisal records, ownership/address changes, exemptions, bills and collections.
Official deed, lien, foreclosure and recording information, with access to the County Clerk's public record search.
Free official search for land records, foreclosures, plats, public notices and other County Clerk records.
City registration portal for an owner directed to register under the absentee property owner ordinance; requires the City's Registration ID and a local contact.
City overview of the ordinance for certain owners outside Bexar County after multiple property-maintenance violations, including local-contact and registration concepts.
City 311 guidance for unoccupied/unsecured structures and property-maintenance concerns.
City-published maintenance-code booklet covering existing structures, premises, safety, sanitation and owner/operator/occupant responsibilities.
No. The property may be rented, occupied by family, under renovation, used periodically or vacant. Confirm actual occupancy, agreements, insurance classification and who may access it.
No. San Antonio's absentee-owner program has specific definitions and triggers. The City materials describe an owner outside Bexar County and multiple property-maintenance violations within a stated period. Use the current notice and City guidance; do not assume this planner determines applicability.
No. A postal forwarding order does not necessarily change records held by BCAD, the Tax Assessor-Collector, mortgage servicer, insurer, HOA, utilities, courts or the City. Update each source through its official process and verify the next document.
Residence-homestead qualification is fact-specific and controlled by law and BCAD. Do not rely on an old record. Review current eligibility, occupancy dates, any temporary-absence rule and the official account with BCAD.
There is no universal cadence. Occupancy, lease terms, insurer requirements, condition, weather, prior incidents, vacancy, construction and local rules matter. Set a written risk-based cadence and increase it after storms, freezes, notices, repairs or occupancy changes.
They may help, but define what they can do, confirm insurance and legal requirements, and avoid giving authority they do not have. Leasing, handling funds, notices, entry and regulated services can create legal or licensing questions.
Use a repeatable route: address/street, each elevation, roofline/drainage, doors/windows, grounds/alley, meters/utilities, each authorized interior area, safety devices and both wide and close images of damage. Preserve originals and timestamps.
Do not assume they are a trespasser or use self-help removal. Document facts and communications, preserve utilities and safety, verify ownership/authority, and get Texas legal guidance before entry, lock changes, notices or removal action.
Not automatically. Water, electricity, HVAC, alarms, sump/drainage equipment, freeze protection, insurance conditions, municipal requirements and contractor needs can make shutdown risky. Build a property-specific utility plan.
After immediate safety and authority issues are controlled, compare the 24–36 month cost, condition trajectory, return, local management capacity, purpose, occupancy rights, title and net sale proceeds. Selling is one option—not the assumed answer.
Once ownership, occupancy and immediate safety are understood, Bexar County Home Buyers can provide one written as-is option to compare with keeping, repairing, renting or listing. No pressure and no obligation.
